America’s SBDC will be hosting a reception on Capitol Hill in Washington, DC, on Tuesday, February 11, 2020. You are invited to showcase your product or service at this reception. You will share your product/service and your company’s story with legislators, SBDC leaders and other SBDC clients from around the country.

What is covered?

Travel/Transportation

Showcase BoothEach company is allowed two representatives. Two nights, per person, provided at the Renaissance Arlington Capital View Hotel on Monday, February 10 and Tuesday, February 11. Hotel reservations will be made for you. Confirmation information will be provided after you complete the info form, where you will submit your arrival and departure date/times.

Two persons’ travel expenses to/from Washington, D.C are covered. If flying, two economy class airfare tickets are covered by America’s SBDC to Washington-Reagan (DCA) Airport. You are responsible for making your own air travel arrangements. Mileage or taxi to and from airport, airport parking, as well as cost of 1 checked bag per person are also covered. In addition, you will be provided a total per diem of $190.00 per person for meals and incidental expenses (based on GSA rules and rates). For local attendees who are driving, only your mileage and parking will be reimbursed. Rental cars are not a reimbursable expense.

Reimbursement for Expenses

Please fill out this expense form to receive reimbursement for your covered expenses. Be sure to include copies of your receipts. You can email your info to karen@americassbdc.org (a PDF file, with your completed expense form and copies of your receipts, must be attached to your email).

Event Materials

America’s SBDC will…

• America’s SBDC will produce signage for you for this event: DO NOT bring or ship any pop-up banners or displays. You will not be permitted to use them onsite.

• America’s SBDC will provide a 40″ 1080p HD TV (monitor) for your use: You must provide your own laptop to utilize the monitor.

Shipping Materials

Showcase BoothWe will cover the shipping cost of materials, i.e. collateral and/or product, up to 25 lbs., sent standard shipping through USPS, or UPS or FED EX ground, to and from the hotel. Please be sure your materials are labeled and there is an inventory sheet inside the box and adhered to the outside of the shipping container. The inventory sheet and your tracking/shipping information needs to be forwarded to Karen Shannon (at karen@americassbdc.org or 410-627-6293) by January 31, 2020. If you are carrying your own materials to the event, please notify Karen Shannon (at karen@americassbdc.org or 410-627-6293) by January 31, 2020.

• 9:00 am – Noon: Client Showcase Video Shoot – Sign up for a slot now!
• 4:00 pm: Set up in the House Rayburn Cafeteria (see map below)
• 5:00 pm: Reception

• 7:00 am – 10 am: Pick up materials in the America’s SBDC hotel office (Hotel, Second Floor)

The Venue

Showcase BoothThe reception will be in a large room in the Rayburn House Office Building, across the street from the U.S. Capitol (50 Independence Ave., SW, Washington, DC 20515).

You will be provided a 6 ft. rectangular table, to display your collateral and product, and up to 2 chairs. If you have other requirements, please let Karen Shannon know (at karen@americassbdc.org or 410-627-6293).

DO NOT bring any banners, signage or display booths. Signage will be provided for your company, onsite.

Getting to the Reception

MapTo get from the hotel to the Rayburn Building, please take the metro to the Capitol South metro station (via the Blue/Orange/Silver metro line). The Rayburn Building is located down the hill from the Capitol South metro station (see the map on the left).

After you enter the Rayburn Building and go through the security check-point, go to the Rayburn Cafeteria (Room B-357). If you are bringing in your own materials, you can bring them in this entrance. Please bring your invitation and a picture ID, and the Capitol police officers will instruct you on how to get to the Rayburn Cafeteria (Room B-357).

If you are traveling from the hotel to the Rayburn Building by Taxi/Uber, instruct the driver to drop you off at the Independence Avenue entrance.

For those of you staying at the Renaissance Arlington Capital View Hotel, at the end of the event, after you have packed your materials, we will return them to the hotel. Your materials can be picked up in the America’s SBDC hotel office (Hotel, Second Floor) from 7 am to 10 am, Wednesday morning.
